lowonganSince 2012, ACICIS has facilitated school tours for high school-aged students {Years 8 -12) and study tours for educators, education professionals and education policy makers. Both tours are tailored to suit individual group needs and may run for five days up to three weeks. Tours generally comprise a mix of Indonesian language classes, cultural activities, visits to tourist sites and to partner schools in Yogyakarta and/ or other areas. JOB VACANCY: ASSISTANT OFFICE MANAGER (AOM)
A position has become available within the Yogyakarta office of The Australian Consortium for 'In-Country' Indonesian Studies (ACICIS) for an Assistant Office Manager. This position would surt a recent graduate of a local university, with an interest, and preferably some experience in, Business, Accounting, Economics and/ or Management. Position Description

This is position would suit a recent graduate of a local university. The AOM reports directly to the ACICIS Office Manager (OM) and also to ACICIS' Resident Director (RD). Duties to be performed by the AOM include, but are not limited to:

1. Assisting the OM with the coordination and financial management of all ACICIS programs;
2. Assisting the OM to ensure payment of all regular office bills;
3. Assisting the OM with office archiving and record-keeping, both electronic and hard copy;
4. Assisting the OM with the management of Yayasan ACICIS' Assets Inventory;
5. Following the budget established for quarterly program expenditure, and assisting the OM in acquitting monthly and quarterly expenditure;
6. Working with ACICIS Perth-based staff to manage regular pre-program administration duties;
7. Assisting the OM or RD with other tasks when called upon to do so from time to time.

Working Hours and Remuneration

1. The role is fulltime, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday, with a one-hour lunch break. Occasional out-of-hours work will be required during Orientation sessions and extra-curricular activities.
2. The role will be remunerated at a competitive rate, commensurate with the applicant's skills and experience.

Selection Criteria:

Essential:

1. Completed Bachelor’s Degree (minimum) from an Indonesian university with a sound academic record in a related discipline (eg. Business, Accounting, Economics, Management etc);
2. Reasonable level of English proficiency, and a willingness to develop this further as a part of the role;
3. Computer literacy in the Microsoft Office suite (Excel, Access, Word, PowerPoint), file sharing services (eg. DropBox) and experience in using a range of social media platforms {Facebook, Twitter, Instagram, Wordpress) in professional contexts;
4. Excellent time management skills and the ability to prioritise a range of tasks;
5. Demonstrated cross-cultural communication skills and a willingness to learn about new cultures;
Desirable:
6. One to two years' experience in a financial management or administrative role, ideally within a university or non-profit organisation;
7. Experience in MySQL database system, InDesign, 3nd/ or Adobe Photoshop.

position Description

This position and would suit a recent graduate of a local university. The PA reports directly to the ACICIS Yogyakarta Program Coordinator (YPC) and also to ACICIS' Resident Director (RD). Duties to be performed by the PA include, but are not limited to:

1. Assisting the Yogyakarta Program Coordinator (YPC) with tour planning tasks, including: logistical assistance, securing accommodation, and administrative duties as required;
2. Acting as a liaison with Universitas Sanata Dharma (USD) staff for the school tours program;
3. Assisting with the implementation phase of ACICIS school tours and acting as the tour leader;
4. Updating and reviewing available options for ACICIS school tours' field trips and Out-Of-Class-Language-Activities (OOCLAs);
5. Collecting evaluation data from tour participants upon completion of their school tour program with ACICIS to assist ACICIS' evaluation processes;
6. Counselling students on matters of adjustment to Indonesian life, including attention to physical adjustment, Indonesian norms of behaviour and expectations regarding dress and use of appropriate language;
7. Assisting the YPC and/ or RD in providing assistance to students in routine and/or emergency medical or security procedures;
8. Assisting the YPC or RD with other tasks and/ or ACICIS programs when called upon to do so from time to time.

Working Hours and Remuneration

1. The role is fulltime, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. In the event that program events (such as tours) and scheduling require the PA to work outside of these hours, overtime will be duly compensated with days in lieu.

Selection Criteria;

Essential:

1. Completed Bachelor's Degree (minimum) from an Indonesian university with a sound academic record in a related discipline (eg. International Relations, Teaching, Education, Tourism, and/or Management);
